Chief of Staff
About Paloma
The achievement gap has persisted for the past half century, despite trillions invested in classroom intervention. Research shows that families—not schools—are the biggest determinants of student success. Parents’ love for their children is the single greatest—and most underutilized—natural resource in education.
Paloma is a venture-backed edtech startup that harnesses AI to unleash parents' untapped teaching potential. Our mobile app helps marginalized families build and sustain a habit of tutoring their kids for 15 minutes a day. Parents deliver rigorous, curriculum-aligned, and joyful instruction daily at home. Over the course of a school year, this adds up to 1,000 extra hours of one-on-one instruction for every classroom! By the time students enter middle school, Paloma users will have given their kids the equivalent of an entire extra year of school! Check out a short demo here.
In our partner networks—including HISD, Metro Nashville, and LAUSD—76% of all K-2 families are tutoring their kids using Paloma. Families that try Paloma get hooked with WAU/MAU averaging 72%. A study found that families using Paloma helped their kids make 45% more reading growth so far this year. Multilingual learners nearly doubled their progress. Another study showed that Paloma helped a district cut their enrollment declines by more than half.
As one district leader put it, “Paloma awakens the sleeping giant of parents as tutors.” We’re on a path to fundamentally transform education such that families and educators work together—rather than in isolation—to support student learning.
About the role
We’re looking for a high-capacity, highly adaptable Chief of Staff to amplify Paloma’s success by extending the CEO’s bandwidth, removing friction, and creating leverage across every function of the company. This is a singular, high-ownership role that blends elements of executive support, project management, and operations. The successful candidate is a quick study capable of powering through large and small tasks with speed, independence, and excellence.
At any given hour, you might be drafting email correspondence, prepping the CEO for an investor meeting, ensuring new hires have their I-9s filed, chasing down a contract signature, or any number of tasks that enable Paloma to go further faster. This role is designed for someone who can handle ambiguity, operate independently, and execute at a high level. If you thrive in a fast-paced environment, love making order out of chaos, and are energized by having your fingerprints on every part of a scaling startup, this role is for you.
Qualifications/Candidate Profile:
The Chief of Staff will play a key role across a number of core business functions including:
- Maximize CEO leverage: Manage priorities, optimize scheduling, and ensure CEO time aligns with strategic goals across sales, product, culture, talent, and investor relations.
- Coordinate business operations: Be the first line of defense on legal and compliance requirements like state tax registration, district/vendor onboarding, or customer agreements.
- Enable growth: Support late-stage sales activities, prepare proposal templates, and assist in finalizing contracts.
- Lead revenue operations: Create invoices, track payments, and follow up on outstanding balances.
- Analyze financial results: Work with senior leadership to prepare a summary of monthly financial performance compared to budget expectations.
- Support HR: Conduct initial phone screens, move candidates through pipelines, and help maintain a best-in-class hiring process. Track contractor agreements and support new hire onboarding.
- External reporting: Complete grant reports, compile updates for funders, and prepare CEO briefing materials.
- Streamline communication: Draft emails on behalf of CEO for internal and external audiences, manage CEO inbox, and use AI tools to optimize workflows.
Who you are:
- Resourceful and independent. When given a goal or task, you figure out the steps, ask the essential questions, and then go make it happen.
- Ego-free executor. You’ll do whatever it takes to move things forward. You’re excited to roll your sleeves up and crank through the large volume of tasks that need doing. Even the unglamorous tasks sound fun.
- Detail-obsessed and organized. You can manage multiple priorities without letting anything slip through the cracks.
- Exceptional communicator. You write clearly, professionally, and can adapt your tone for executives, employees, or external partners.
- Fast learner. You’re comfortable diving into new tools, processes, and subject areas (from state tax registration to grant compliance) with minimal guidance.
- Mission-driven and resilient. You’re excited about transforming education and willing to do the hard, sometimes tedious work to make it happen.
- Tech-savvy and curious. You love tools like Asana, CRMs, and AI language models to work smarter and faster.
Benefits
- Generous + family-friendly health & retirement benefits.
- 20 days PTO annually plus federal and company holidays.
- Fully remote team with a vibrant culture. (Everyone says their team is great, but our team and culture are truly magical. You’ll judge for yourself 🙂)
